For large conferences the venue determines almost everything behind the scenes: stage design, guest flow, security and even the technical budget.
Real capacity, not capacity on paper
Published capacity usually assumes wall-to-wall seating. Once you add the stage, technical areas, aisles and camera positions, real capacity can drop significantly.
“Visit the venue at least twice: once in daylight and once at the exact time the event will run.”
Technical infrastructure
Check ceiling height, rigging points, floor loading, power and the build window allowed. These figures directly limit the size of the stage and LED screens.
Guest flow and traffic
A thousand guests arriving within thirty minutes need enough check-in desks, enough lifts and parking planned in advance.
